Creation process

From campaign idea to checkout

  1. 1

    Choose the active box office

Open Promote from the organiser menu. All events, ticket types, promo records, and redemption totals remain scoped to that box office.

  2. 2

    Create and target the offer

Set the code, discount, event scope, eligible ticket types, usage limits, and validity window. Save it as Active when it is ready.

  3. 3

    Customer applies the code

At checkout BookItEase validates the event, ticket types, status, date window, basket rules, identity limits, and remaining redemptions.

  4. 4

Discount is confirmed with the order

The valid discount is applied only to eligible ticket prices. Booking fees, products, Stripe processing costs, and platform fees keep their existing rules.

Field guide

What every setting controls

Empty optional limits mean no restriction. BookItEase checks all configured rules again on the server when the customer submits checkout.

Identity and discount

Code
The text customers enter at checkout, for example EARLYBIRD25. BookItEase stores and matches the code in uppercase.
Internal name
A private organiser label used to identify the campaign. Customers see the code, not this internal name.
Discount type
Percentage reduces eligible ticket prices by a percentage. Fixed per ticket removes the configured currency amount from every eligible ticket.
Value
The percentage or fixed amount to deduct. Percentage values can be from 0 to 100. A discount never makes a ticket line negative.

Where it applies

Applies to
Choose a specific event or the whole selected box office. Box-office codes can be used across its events; event codes stay with one event.
Event
Required for a specific-event code. The list is scoped to the box office currently selected in your organiser account.
Eligible ticket types
Select individual ticket types when the offer should be restricted. Leave every option unchecked to include all ticket types for that event.
Status
Active allows the code to be validated during its valid dates. Inactive keeps the record but immediately prevents new use.

Usage controls

Max redemptions
The maximum number of confirmed uses across all customers. Leave it empty for unlimited use. After creation, a finite limit can only stay the same or increase.
Per user limit
Limits repeat use by the same signed-in customer or buyer email. Leave it empty when repeat purchases are allowed.
Minimum basket
The minimum selected-ticket subtotal required before the code can apply. Enter the amount in the event currency.
Minimum quantity
The minimum total ticket quantity required in the basket, useful for group and multi-buy campaigns.
Valid from
The date and time when customers may first use the code. Leave empty when it should be available immediately.
Valid until
The final date and time at which the code is accepted. After this time checkout reports that the code has expired.

How calculation works

Discount eligible tickets first

A percentage code multiplies each eligible ticket line by the configured percentage. A fixed code deducts the configured amount per eligible ticket, capped at that ticket line's price.

Ineligible ticket types remain at full price. The final order cannot receive more discount than the eligible ticket subtotal.

Organiser promo codes reduce the customer's eligible ticket price. They are separate from BookItEase service discounts, which affect platform charges rather than the customer's ticket offer.

Percentage example

25% off an eligible £89 ticket gives a £22.25 discount and a £66.75 discounted ticket total.

Fixed example

A £5 fixed-per-ticket code used on three eligible tickets deducts up to £15.

Date protection

Codes outside their configured start and end times are rejected before an order is created.

One checkout action

Customers enter the code once. The order summary immediately shows the accepted discount.
